Keep useful information in order

Data & backups

Practical help with your records, spreadsheets, files and backups.

Folders and a clearly organised table of records.

Set up clear records

A useful system makes information easier to find and maintain. I can help you decide what to record and how to organise it.

That could be a straightforward spreadsheet, a set of shared files or a database. I’ll start with how your organisation works and who needs to use the information.

A record being updated with consistent information.

Keep information up to date

I can show you ways to make information easier to enter and update, with clear headings, consistent formats and checks for common mistakes.

The aim is to help your volunteers keep their own records current and feel confident using the system. I don’t undertake routine data entry.

Information presented as a simple chart and summary table.

Make sense of your information

Perhaps you need to understand attendance, summarise a survey or prepare figures for a funding application.

I can show you how to organise the information, explore patterns and present useful results in a clear table, chart or report.

A short form collecting answers into an organised table.

Collect what you need

A well-planned form or survey is easier to complete and gives you more useful answers. I can help you choose a tool and show you how to turn your questions into a practical format.

I’ll encourage you to be clear about why you need the information and how you plan to use it.

Important files copied to separate storage locations.

Make a backup plan

A backup is a separate copy you can recover when files are lost, damaged or accidentally changed. I can help you compare options and choose a routine that suits your organisation.

I’ll also discuss where copies are kept and how to check that you can restore the files you need.

An organised folder of records protected by a lock.

Look after the information you hold

I can help you think through who needs access, how files are shared and how accounts and devices are protected.

If you hold personal information, I can help identify practical questions to consider and point you towards relevant guidance when you need it.

Start with the problem you need to solve

Tell me about the records or files you work with and what is proving difficult. Please describe the information rather than sending personal records in your first enquiry.

I volunteer my time and aim to reply within seven days.
